Office Manager

VIUM Capital is seeking an organized, proactive, and tech-savvy Office Manager to join our team in Columbus, Ohio. This role is central to the smooth functioning of our daily operations, supporting leadership, coordinating office logistics, and ensuring our team has what it needs to succeed. The Office Manager will also assist with employee onboarding and people-related initiatives, and will help maintain accuracy in our CRM system. The ideal candidate thrives in a collaborative, entrepreneurial environment and wants to play a key role in supporting a nationally recognized healthcare and seniors housing finance firm.

Job Description

Key Responsibilities

Office Administration

  1. Oversee daily office operations to ensure an efficient and productive working environment
  2. Serve as primary point of contact for vendors, service providers, and building management
  3. Manage office supplies, ordering, and budgeting
  4. Coordinate company events, meetings, travel arrangements, and internal communications

Executive Support

  1. Provide administrative support to executives including calendar management, meeting preparation, and expense reporting
  2. Support onboarding for new employees including equipment setup, paperwork, and orientation coordination

CRM and Operations Support

  1. Maintain and manage the integrity of data within our CRM system (HubSpot)
  2. Support team members with CRM data entry, reporting, and best practices
  3. Generate periodic reports and dashboards to assist leadership in tracking client and pipeline activity

HR and People Support

  1. Assist with employee onboarding and offboarding processes
  2. Support employee engagement initiatives including coordination of Cristo Rey student interns
  3. Maintain confidentiality in handling employee and HR-related matters

Qualifications

  1. 3+ years of experience in office management, administration, or operations
  2. Familiarity with CRM systems (e.g., HubSpot, Salesforce, Zoho) preferred
  3. Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  4. Strong organizational skills and ability to multitask in a fast-paced environment
  5. Excellent verbal and written communication skills
  6. High attention to detail, discretion, and a problem-solving mindset
  7. Experience in financial services or professional services industry is a plus
